All chapter communications and event materials must follow National branding, logo, and documentation requirements. This protects our credibility, compliance, and Standards scoring. Before distributing flyers, posting publicly, or emailing the full chapter, please review the standards below.

Why we use NCBWSA Email + Drive (Required)
- Continuity: work stays with the chapter when officers change
- Compliance: records available for Standards, audits, and governance
- Security: protects confidential member and chapter information
- Efficiency: shared files reduce “who has the latest?” delays
Rule: Chapter business = chapter email. Chapter files = Shared Drive * Do Not Store Passwords

Step 0 — Get your position account
You will receive your position email (example: [email protected]) and a temporary password from the Technology Team. Important: You will change the password and set up security the first time you sign in. Step 1 — Create a Chrome Profile for your NCBWSA role (Required)
This keeps your NCBWSA work separate from your personal Gmail.
Step 2 — Go to the Google Workspace “front door”
In that NCBWSA Chrome profile, go to: https://workspace.google.com/ Then click Sign in (top right) and confirm you are signing in as your NCBWSA position email. Step 3 — Use the App Launcher to open Gmail, Calendar, Drive, etc.
Once you’re signed in, look for the 9-dot grid (“Google apps”) in the top-right. From the 9-dot grid, you can open:

- Save key items to Shared Drive (official notices, approvals, important attachments)
- Upload your Correspondence Report 3 days before each Board meeting
- If a Membership meeting follows 1 week later, upload a brief addendum/update 2–3 days before that meeting.

NCBWSA Archives & Historical Stewardship
NCBWSA’s history is preserved in three complementary ways to ensure continuity, integrity, and long-term access:
A) Physical Chapter Inventory (Storage)Select chapter materials used for events, programs, and operations are stored in the chapter’s designated storage location and managed through Resource Management policies (check-in/check-out, restricted items, and inventory tracking).
B) Digital Archive (Drive)Official documents and historical records (minutes, programs, photos, flyers, reports, and key communications) are stored in NCBWSA Shared Drives to ensure retention and access through officer transitions.
C) UTSA Special Collections (White-Glove Research Access)NCBWSA is honored to have a portion of its historical records preserved through UTSA Libraries Special Collections (formerly housed with the Institute of Texan Cultures). Access is available by appointment/reservation, with staff support in the reading room.
